About the Role

This is not a traditional Executive Assistant or Virtual Assistant position . We are looking for someone who can become a trusted operational right hand to the founder—someone who can take an idea or objective, determine what needs to happen next, and help turn it into execution.

AI proficiency is a key component of this role. The ideal candidate actively uses tools such as ChatGPT, Claude, Gemini, or similar platforms to research, solve problems, organize information, improve processes, and execute work more efficiently.

You will work across three different business ventures and support a wide variety of initiatives. Because the projects can change frequently, we need someone who is highly adaptable, intellectually curious, resourceful, and comfortable figuring things out without step-by-step instructions.

Key Responsibilities

• Provide high-level executive and operational support to the founder across multiple businesses and projects.
• Turn broad ideas, objectives, and requests into clear action plans and next steps.
• Use AI tools extensively for research, problem-solving, planning, documentation, content development, and workflow optimization.
• Research unfamiliar topics independently and identify practical solutions, resources, and approaches.
• Manage and coordinate multiple projects simultaneously, keeping priorities, deadlines, and follow-ups organized.
• Support new business initiatives, digital projects, email campaigns, research, and other special projects.
• Assist with operational, administrative, and financial coordination as needed.
• Identify opportunities to automate, simplify, or improve existing workflows.
• Coordinate with external vendors, contractors, suppliers, and other stakeholders.
• Maintain clear documentation and track important decisions, deliverables, and action items.
• Anticipate potential problems or bottlenecks and proactively recommend solutions.
• Evaluate different approaches and confidently suggest alternatives when there is a better or more efficient way to accomplish an objective.
• Take ownership of assignments from initial research through execution and follow-up.

REQUIREMENTS

• Previous experience in Executive Assistance, Operations, Project Coordination, Founder Support , or a similar role.
• Experience working directly with a founder, CEO, entrepreneur, or senior executive is strongly preferred.
• Strong practical proficiency with AI tools such as ChatGPT, Claude, Gemini, or similar platforms.
• Ability to demonstrate how you have used AI to solve problems, improve workflows, conduct research, or increase productivity.
• Excellent problem-solving and research abilities.
• Strong initiative and ability to work independently with limited supervision.
• Ability to receive an ambiguous objective and independently determine the appropriate next steps.
• Excellent organizational and project-management skills.
• Ability to manage multiple projects and shifting priorities at the same time.
• Excellent written and verbal English communication skills (C1,C2)
• Strong technological aptitude and ability to quickly learn new platforms and systems.
• Strong attention to detail and consistent follow-through.
• Comfortable questioning assumptions, sharing ideas, and recommending better approaches rather than simply following instructions.
• A strong sense of ownership, accountability, and work ethic.

Compensation

$1,200 - $1,400 per month
